How much does school management software cost in India? A 2026 price guide
School management software in India typically costs ₹100 to ₹500 per student per year, with premium vendors quoting ₹120 to ₹250 per student per month. Real total cost of ownership usually lands 40–60% above the advertised price once setup fees, SMS packs, payment gateway charges and customisation are included.
Almost nobody in this market publishes their pricing. You fill in a form, you get a call, and the number you are quoted depends on how large your school is and how the conversation goes. That makes it genuinely difficult to know whether you are being quoted a fair price.
Here is what the market actually looks like, and how to work out what you should be paying.
The headline numbers
Published guidance on Indian school ERP pricing consistently puts the range at:

The spread between ₹100 and ₹500 per student per year is enormous — a 500-student school is looking at anywhere between ₹50,000 and ₹2,50,000 for what vendors will describe using very similar words. That spread is where the actual buying decision lives.
The number that is not on the quote
The most useful single fact about this market is that the advertised price is usually not the price. Published analysis of Indian school ERP pricing puts real total cost of ownership 40–60% above the quoted figure once you add:
- Setup and onboarding fees — often a one-time charge in the tens of thousands
- SMS packs — bought separately, per message, and they run out
- Payment gateway charges — a percentage of every online fee collected
- Customisation — anything not in the standard product
- Mobile app add-ons — parent and teacher apps quoted separately from the web system
- Annual maintenance — a recurring percentage on top of the licence
A school quoted ₹80,000 a year that ends up paying ₹1,25,000 has not been defrauded. Every one of those line items was probably disclosed somewhere. It just was not in the number that got compared against the competitor’s number.
How to compare quotes properly
Ask every vendor the same six questions in writing, and compare the totals rather than the headline rates.
- What is the per-student rate, and is it per month or per year? Get this unambiguous. A ₹20 rate is very different at monthly versus annual.
- Is there a setup, onboarding or implementation fee? One-time charges do not show up in a per-student comparison at all.
- Is parent messaging included, or do we buy SMS credits? If credits, what does a message cost and how many will a school our size use in a year?
- Are the parent and teacher mobile apps included in that rate? Or quoted separately?
- What does data migration from our current records cost? If it is chargeable, get the figure.
- What is the annual increase at renewal? Year-one pricing is frequently promotional.
Add the answers up over three years. That is your real comparison.
Worked examples
Take a 500-student school and price it three ways.
Vendor A — ₹150/student/year, plus ₹40,000 setup, plus SMS pack
- Licence: ₹75,000
- Setup (year one): ₹40,000
- SMS: ~₹15,000/year
- Year one: ₹1,30,000. Year two onwards: ₹90,000.
Vendor B — ₹250/student/year, everything included
- Licence: ₹1,25,000
- Year one: ₹1,25,000. Year two onwards: ₹1,25,000.
Vendor C — ₹108/student/year, everything included
- Licence: ₹54,000
- Year one: ₹54,000. Year two onwards: ₹54,000.
Vendor A looks cheapest on the rate card and is not. Vendor B is transparent but expensive. Over three years: A costs ₹3,10,000, B costs ₹3,75,000, C costs ₹1,62,000.
The lesson is not that the cheapest rate wins — it is that the rate card is not the price, and comparing rate cards is comparing the wrong thing.
What you should actually be paying
For a conventional private school that needs administration rather than an LMS, in 2026:
- Under ₹100 per student per year is unusually cheap. Check what is missing — often mobile apps, often support, sometimes it is a year-one promotional rate.
- ₹100–₹250 per student per year, all in is a fair market price for a full-featured system.
- Over ₹300 per student per year should come with something specific that justifies it: deep finance and accounting, an enterprise implementation, or genuine specialist functionality your school needs.
- Anything quoted per student per month — multiply by twelve before comparing. A ₹20/month quote is ₹240/year, which is mid-market. A ₹150/month quote is ₹1,800/year, which is enterprise territory.
