Parent communication

The channel every parent already has open

Pupil ERP includes a WhatsApp bot for parent communication. Parents message the school’s WhatsApp number and get a menu to check fee details, upcoming holidays, performance reports, receipts and school contact information — with no app install and no password. Fee receipts, payslips and announcements are also delivered over WhatsApp automatically.

Why WhatsApp and not an app

Every parent already has WhatsApp open. None of them wants a fourth school app, and a meaningful share will never install one. Building parent communication on WhatsApp means the school gets full coverage on day one instead of chasing app adoption for a term.

It also means nothing to train. A parent who can send a message can use it.

What the bot answers

A parent messages the school number and gets a numbered menu. They pick an option and get a straight answer, drawn live from the school’s records.

  • Fee details — category-wise and month-wise breakdown
  • Last transactions and payment history
  • Upcoming holidays and the school calendar
  • Performance and result reports
  • School contact details

What the school sends automatically

Beyond the bot, WhatsApp is the delivery channel for the things a school needs to push: a PDF fee receipt the moment a payment is recorded, a payslip when staff salary is settled, and announcements to a class, a section or the whole parent body.

That last one replaces the WhatsApp group. Announcements go out from the school as an official message rather than into a group where forty parents can reply to all.

What it removes from the office

The recurring questions — what do I owe, when is the school closed, did my payment go through, can I have that receipt again — stop arriving as phone calls, because a parent can answer them in ten seconds themselves at nine at night.

FAQ

WhatsApp for Schools — questions schools ask

How does WhatsApp school communication work in Pupil ERP?

The school gets a WhatsApp number connected to Pupil ERP. Parents message it and receive a numbered menu for fee details, past transactions, upcoming holidays, performance reports and school contact information, answered live from the school’s records. The school also uses it to push fee receipts, payslips and announcements.

Do parents need to install anything to use it?

No. It is ordinary WhatsApp — no app to install, no account to create, no password to remember, and nothing for the school to explain. Any parent who can send a message can use it.

Is the WhatsApp bot included in the price?

Yes. WhatsApp parent communication is included at no extra cost and there is no separate SMS pack to buy on top. Pupil ERP has a single price with every module included, so the native parent and teacher mobile apps come with it rather than sitting behind a higher tier.

Can we send announcements to only one class?

Yes. Announcements can be targeted at a single class or section, at all parents, or at staff, and are delivered over WhatsApp as well as in the app. Because they are sent from the school rather than posted in a group, parents cannot reply-all to each other.
