Student records

A student information system that holds the whole record, not just the current year

A student information system (SIS) is the central record of every student in a school — admission details, contact information, class and section, documents, and academic history. Pupil ERP’s SIS covers admission through to year-end promotion and keeps leavers in a searchable archive, so past receipts and results stay available for audits.

Everything about a student on one screen

Open a student and you get the whole picture: personal and guardian details, class and section, fee status with the full payment history, attendance record, exam results, leave requests, and any documents you have attached. No switching between a register, a fee book and a results file to answer one question.

That matters most at the counter. When a parent walks in asking why a receipt does not match what they remember, the person on the desk can answer without going to find someone else.

  • Profile, guardian contacts and admission details
  • Fee status, invoices and every past transaction
  • Attendance history and leave requests
  • Exam results and performance feedback
  • Uploaded documents and certificates

Bring your existing records in from a spreadsheet

Every school already has its student list somewhere — usually an Excel file that has been copied forward for years. Pupil ERP imports it. You upload the CSV, map your columns to ours, preview exactly what will be created, and confirm.

Nobody re-types a student list. That single fact is usually the difference between a system going live in a week and a system that never quite gets started.

Promotions at year end, not re-registration

At the end of the academic year you promote students to the next class rather than creating them again. History follows the student: their old results, receipts and attendance stay attached to the same record, so a Class 8 student still has their Class 5 marks.

Students who leave move to the archive rather than being deleted. Their records stay searchable for audits, transfer certificates and the awkward phone call three years later asking for an old receipt.

Find anyone, immediately

Global search runs across students, staff, classes and invoices at once. Type a partial name, an admission number or a phone number and you get the record — which is what you need when a parent is standing at the desk and the queue is building behind them.

FAQ

Student Information System — questions schools ask

What is a student information system?

A student information system (SIS) is the central database of student records in a school: admission details, guardian contacts, class allocation, documents, attendance, fees and academic history. It is the foundation the rest of a school ERP is built on, because fees, exams and attendance all attach to the student record.

Can we import our existing student list?

Yes. Pupil ERP takes a CSV or Excel export of your current list, lets you map your columns to ours, shows a preview of exactly what will be created, and then imports it. You do not re-type existing records, and this is included in onboarding at no extra cost.

What happens to students who leave the school?

They move to a searchable archive rather than being deleted. Their fee receipts, exam results and attendance history remain available for audits and transfer certificates, and archived students are not counted in your per-student billing.

Can we control which staff see student records?

Yes. Access is role-based — you grant each admin only the sections they need, so a fee clerk can be given the fee counter without access to staff salary or exam marks. Every change to a record is written to an audit log.
