Define what each class pays and how often — monthly, quarterly, per term or annually — and assign it. Invoices generate on schedule instead of being written out by hand, so what a family owes is a number the system knows rather than something the office calculates each time.

Different fee heads are handled separately: tuition, transport, admission, examination, and anything else you charge. Parents see the breakdown, so "what is this ₹3,600 for?" has an answer without a phone call.

Discounts and concessions without breaking the ledger

Sibling concessions, staff-ward discounts, merit scholarships and hardship waivers are recorded against the student as discounts, not by quietly editing the amount owed. The original fee, the concession and the net payable all stay visible.

That is what makes the year-end reconciliation survivable. You can see what was charged, what was waived and why, instead of trying to reconstruct it from memory.

Collect at the counter or online — same record either way

Most fees in our market still come in as cash or cheque at a counter, so that is a first-class flow, not an afterthought. Record the payment, and the receipt is generated and sent immediately.

Online collection through a payment gateway is supported for schools that want it. Either way it is the same invoice, the same ledger and the same receipt format — you are not running two systems.

The receipt reaches the parent before they leave the desk

Every payment produces a numbered PDF receipt, delivered to the parent over WhatsApp and email and available in the parent app. No carbon copies, no lost slips, and no dispute a month later about whether a payment was made.

Parents can also check their own fee position at any time by messaging the school’s WhatsApp number — category-wise and month-wise — which removes a large share of the calls the office fields every week.

Know where you actually stand

Collection reports show what has been billed, what has come in and what is outstanding, by class or across the school. Defaulter lists are a filter, not an afternoon with a calculator. Every fee action is audit-logged, so you can see who recorded what and when.
