School management software: what it does, and how to pick one
School management software — a school ERP — is one system covering admissions and student records, fee collection, attendance, exams and results, timetables, staff payroll and parent communication. It replaces separate registers, spreadsheets and WhatsApp groups so that a fee receipt, an attendance mark and a report card are all the same shared record.
School ERP, student information system, school management system — which is which?
These terms get used interchangeably in marketing, which makes comparing products harder than it needs to be. The practical distinction:
| Term | What it actually covers |
|---|---|
| Student information system (SIS) | The student record: profiles, guardians, class allocation, documents, academic history. The foundation everything else attaches to. |
| School management system | Usually used to mean the same thing as a school ERP. Treat the two as synonyms when comparing vendors. |
| School ERP | The full administrative system: the SIS plus fees, payroll, attendance, exams, timetables and communication. |
| Learning management system (LMS) | A different thing entirely — course content, assignments and online lessons. Some vendors bundle one; it does not replace an ERP. |
Pupil ERP is a school ERP. It contains a full student information system and adds the administrative modules around it. It is not an LMS and does not claim to be.
Module by module
What a school ERP should cover
Ten modules, each linked to a full explanation of how it works in Pupil ERP.
Student Information System
Admissions, student profiles, class allocation, year-end promotions, documents, and a searchable archive of every student who has passed through the school.
How it works →Fee Management
Build fee structures per class, generate invoices, apply discounts, record payments at the counter or online, and send a digital receipt the moment money is taken.
How it works →Attendance Management
Teachers mark daily attendance in one tap from the phone; parents see it the same morning. Staff attendance and auto check-out are handled in the same system.
How it works →Exams & Results
Publish datesheets, enter marks subject by subject, apply grading, and release report cards that parents open in the app — no printing and re-printing.
How it works →Timetable Management
Build class timetables period by period, assign teachers and subjects, and publish the holiday calendar to every parent and teacher at once.
How it works →Staff & Payroll
Staff records with bank details, monthly salary processing, deductions, and PDF payslips delivered over WhatsApp and email when salary is settled.
How it works →Parent App
A real iOS and Android app: attendance, fees and receipts, results, timetable, leave requests, teacher feedback, announcements, and AI homework help.
How it works →Teacher App
Clock-in, one-tap attendance, student leave approvals, performance feedback, and an AI lesson guide — synced live with the school office.
How it works →WhatsApp for Schools
Parents simply message the school number to check fees, holidays, results and receipts. No app install, no password, no training — it is WhatsApp.
How it works →Announcements & Notices
Send a notice to one class, one section, all parents or all staff — delivered as a push notification, a WhatsApp message and an in-app announcement.
How it works →Role-based admin access
Give the fee clerk the fee counter and nothing else. Every admin sees exactly the sections you grant, and every change is written to an audit log.
Bulk import & archive
Import your whole student and staff list from CSV on day one, and keep leavers, old receipts and past results searchable for audits.
Your own school workspace
Each school runs in an isolated workspace. Your records are never mixed with another school’s, and access ends the moment you say so.
How to choose school management software
Choose school management software by testing it against how your school actually operates, not against a feature list. The questions that separate systems in practice are whether counter cash collection is properly supported, whether parents can get information without installing an app, whether your existing records import cleanly, and whether the published price is the real price.
Does it fit how fees actually arrive?
A lot of software assumes fees are collected online. If most of your collection is cash or cheque at a counter, check that this is a first-class flow that produces the same invoice, ledger entry and receipt — not a workaround someone types in later.
Can parents get information without an app?
A meaningful share of parents will never install a school app. If the only way to check fees or results is an app, your coverage is capped from day one. WhatsApp access matters more than app design here.
Will your existing records import?
You already have a student list in Excel. If the vendor cannot import it — or charges you to — expect the rollout to stall. Ask specifically about CSV import and who does the work.
Is the published price the real price?
Ask directly about setup fees, SMS packs, per-message and per-receipt charges, mobile app add-ons and annual maintenance. Published guidance puts real total cost 40–60% above the advertised figure. Get the whole number before comparing.
Can you see it with your own data?
A demo on sample records tells you very little. Ask for a walkthrough using your classes, your fee structure and a slice of your student list — and put the office staff who will actually use it in the room, not just the owner.
Who answers when it breaks on results day?
Find out what support actually looks like in the week that matters. Timezone, response time, and whether you reach someone who can fix it or someone who logs a ticket.
What school management software costs
School management software in India typically costs ₹100–₹500per student per year, with premium vendors quoting ₹120–₹250 per student per month. Real total cost of ownership usually lands 40–60% higher than the advertised figure once setup, SMS packs, gateway fees and customisation are counted.
Pupil ERP publishes ₹9 per student per month — ₹108 per student per year — with every module included and no setup fee, no SMS pack and no per-receipt charge, so the comparison is like for like.
FAQ
School management software, explained
What is school management software?
School management software, also called a school ERP, is a single system that handles a school’s academic and administrative work: admissions and student records, fee collection, attendance, exams and results, timetables, staff payroll, and parent communication. It replaces separate registers, spreadsheets and message groups with one shared set of records.
What is the difference between a school ERP and a student information system?
A student information system (SIS) is the student record itself — profiles, class allocation, documents and academic history. A school ERP is broader: it includes the SIS but adds fee management, payroll, attendance, exams, timetables and communication. Every school ERP contains an SIS; not every SIS is an ERP.
How much does school management software cost in India?
Most school ERP software in India costs between ₹100 and ₹500 per student per year, with some premium vendors quoting ₹120 to ₹250 per student per month. Buyers should also budget for setup fees, SMS packs and gateway charges, which commonly push real cost 40–60% above the advertised price. Pupil ERP publishes ₹9 per student per month (₹108 per year), everything included, with none of those extras.
Do small schools need school management software?
Small schools often benefit most, because they have the least administrative slack. A 200-student school with two office staff spends a disproportionate amount of time answering fee questions and reconciling registers — which is exactly the work that automates away. Per-student pricing means a small school pays a small amount.
How long does it take to implement school management software?
A straightforward rollout takes about a week: create the workspace, import students and staff from your existing spreadsheet, configure classes and fee structures, and train the office team. Rollouts fail when a school tries to switch every module at once mid-term — starting with student records and fees, then adding attendance and exams, works better.
What should we look for when choosing a school ERP?
Check that it fits how your school actually operates: whether counter cash collection is a first-class flow, whether parents can get information without installing an app, whether your existing records can be imported rather than re-typed, and whether pricing is published in full including setup and messaging costs. Ask for a demo using your own data, not sample records.
